Privacy policy (homeowner applications)

Last updated: March 31, 2026

This Privacy Policy describes how Hoapay ("we," "us") handles information when you use our subdivision and HOA management platform, including homeowner-facing applications linked to your community.

1. Who this applies to

This policy applies to residents and homeowners who access Hoapay through an organization (your HOA or property manager) that has subscribed to the Service. Your organization may have additional notices or rules that also apply.

2. Information we process

We process information you and your organization provide—such as name, contact details, household address, account credentials, and content you submit (e.g. complaints, visitor requests, permit applications). We also process technical data needed to operate the Service, such as device type, log data, and security signals.

3. How we use information

We use information to provide and improve the Service, authenticate users, deliver notifications and community features, protect security, comply with law, and support your organization's legitimate management of the subdivision.

4. Sharing

We share information with service providers that help us host and operate the platform, subject to appropriate safeguards. Your organization's administrators and authorized staff can see information needed for HOA operations. We may disclose information if required by law or to protect rights and safety.

5. Retention

We retain information as long as needed to provide the Service and as your organization's settings and applicable law require. Organizations may define retention for certain records; contact your HOA for community-specific practices.

6. Your choices

Depending on your region, you may have rights to access, correct, delete, or export personal data, or to object to certain processing. Submit requests through your organization or the contact path provided in your deployment.

7. Security

We implement technical and organizational measures designed to protect personal information. No method of transmission or storage is completely secure; we work to reduce risk in line with industry practice.

8. Updates

We may update this Privacy Policy from time to time. We will revise the date above and, where appropriate, provide additional notice through the Service or your organization.

9. Contact

For privacy questions related to homeowner applications, contact your organization administrator or use the support channel associated with your account.
